Memo on VE E-mail System – Policies, Practices and Procedures There are approximately 6,000 users in the Virtual Enterprise California Network-all of which have e-mail addresses. The following are additional rules and guidelines that EVERYONE must follow while using the VEC e-mail system. What IS acceptable:





Sending mass e-mails o To all VE company e-mail addresses ONLY. o Placing the e-mail addresses in the BCC (Blind Carbon Copy) area ONLY. o We have placed a cap of 250 maximum e-mails can be sent through the VE e-mail system. Any communication with other VE participants.

What IS NOT acceptable:





Sending the same e-mail multiple times. o Make sure to only press the send button once. o Sometimes there is a slight delay in the delivery of an e-mail; be patient there is no need to send an email more than once. Sending mass e-mails o More than once (see above). o To e-mail addresses outside of the VE e-mail system (e-mail addresses not @virtualenteprise.org). o Those containing ANY attachments (ie. pictures, documents, etc.) o Those that list all of the e-mail address in the "To:" or "CC:" area. o E-mails sent using all e-mail addresses AND mailing lists (mailing lists are e-mail addresses that begin with "all_"). You must either send the mass e-mail to only these mailing lists or exclude them when selecting all other e-mail addresses. o Non-informative e-mails. This includes messages that simply say "hi" or other completely irrelevant information not related to Virtual Enterprise. E-mailing [email protected] with non-technical issues.



Sending e-mail containing large attachments (greater than 1 megabyte).



Your e-mail box has a 10 megabyte and it is your responsibility to manage your e-mail box so it doesn’t go over the limit.



Sending e-mail using any account other than your own.



What happens if these guidelines are violated: 1. 2. 3.

The first instance will result in a phone call and/or e-mail to the company's coordinator and dealt with accordingly. Your e-mail can be turned off with no notice. The second instance will result in revocation of individual e-mail and/or VE account access. The LAST instance will result in revocation of ALL company e-mail and/or VE account access!

*Note: Each mailbox is allowed only a certain amount of space, a quota. Once your mailbox reaches 100% of its quota, you will no longer be able to receive e-mail. So, maintain your mailbox by permanently deleting unwanted e-mail. The purpose of this memo is to inform you of our general course of action regarding e-mail abuse. We are by no means deterring you from using the VEC e-mail system; communication and networking with other students/companies is encouraged. We only ask that you use e-mail responsibly.
