Executive Assistant Administration Executive Director Regular, Full-Time Non-exempt 6, 7, 8 $22.43 - $25.24/hr. D.O.E.

BRIEF SUMMARY OF JOB RESPONSIBILITIES: 1)

Assist the Executive Director in achieving the goals and objectives of Nome Eskimo Community. Performs administrative and technical support duties for the administration of NEC. Will be required to become familiar with programs and services administered by NEC. 2) Serves as the immediate supervisor to the Custodian and On-Call Maintenance personnel. 3) Serves as Tribal Enrollment Officer that includes the responsibility to maintain member records for both hard files and computerized database. Provides enrollment services to NEC members that include communications for distribution and processing of applications, producing enrollment verifications and Tribal ID’s. Prepares enrollment reports and membership information for the tribal council meetings as required. 4) Conduct fact-finding research, independently locate appropriate sources of information and present findings in order to assist the Executive Director and Administration staff with special projects on an as needed basis. 5) Maintain the Board Room reservations and administrative calendar for meetings, travel and events. 6) Responsible for coordination of tribal council and annual meetings that include compilation and dissemination of council meeting packets. Records and transcribes minutes for tribal council meetings and other meetings as assigned. Attend evening meetings or NEC functions as assigned. 7) Compiles travel information for administrative personnel and tribal council that includes registrations, hotel and vehicle reservations. Coordinates with Accounting Specialist on airline reservations. Ensure travelers receive travel itinerary and trip reports are submitted timely after travel. 8) Assist Accounting personnel with maintenance of the NEC inventory of equipment. 9) Functions as a communication point for the Executive Director and Administration personnel. 10) Coordinate with staff to ensure phone and office coverage for Administration. 11) Responsible for distribution of correspondence received via postal service, email, fax and inter-office material. Maintain incoming and outgoing correspondence files and other administrative files. Compose letters and answer routine correspondence including donation requests. 12) Other duties as assigned by Executive Director.

Associates Degree in office or business management or related field, or comparable work experience may substitute for the degree requirement on a year for year basis. Detail oriented and possess strong organizational skills. Strong written and oral communication skills. Multi-tasked with the ability to adapt and work in a fast paced team environment. Must be self-motivated with the ability to work with minimum supervision. Possess office management skills for standard office equipment including copier, fax, phone and proficient skill level in computer software applications such as Internet and Microsoft Office applications Word, Excel, Outlook and Publisher. Must possess the ability to maintain strict confidentiality. Must have a valid Driver’s License.
